Clara AI, Inc. ("Clara AI" or "Company") is committed to protecting the privacy of individuals who visit our websites ("Visitors"), individuals who register to use the Clara Services ("Customers"), and individuals whose information we may receive in connection with providing the Clara Services ("Data Subjects"). This Privacy Policy describes Clara AI's privacy practices in relation to the use of our websites and the related applications and services offered by Clara AI (collectively, the "Services").
How We Collect And Use Information
We collect information in multiple ways, including when you provide information directly to us, and when we passively collect information from you, such as from your browser or device.
Information You Provide Directly
We may collect information from you during your use of or access to the Services, such as:
- When you register for a Clara AI account or to use the Services
- When you request information about or otherwise use the Services
- When you participate in any interactive features of the Services, including surveys, contests, promotions, activities, or events
- When you make a purchase on the Services
- When you interact with us via social media
- When you request customer support or otherwise communicate with us
Information Collected Automatically
When you use our Services, some information is collected automatically. For example, when you access our Services, our web servers automatically log your computer's operating system, Internet Protocol (IP) address, access times, browser type and language, and the website you visited before our site. We also collect information about your usage and activity on our Services.
Information Collected from Third Parties
We may collect information about you from third parties, including from third-party services that you connect to your Clara AI account. When you connect your Clara AI account with your third-party accounts (e.g., Google, Microsoft), we collect the information necessary to provide the Services, such as access to your calendar data and email.
Cookies And Tracking Technologies
We and our third-party service providers use cookies, web beacons, and similar technologies to collect information about your interactions with our Services. Cookies are small data files stored on your device that help us improve our Services and your experience.
We use the following categories of cookies:
- Strictly Necessary Cookies: Required for the operation of our Services, such as session management and authentication. These cannot be disabled.
- Analytics Cookies: Help us understand how Visitors and Customers use our Services so we can improve them. We use third-party analytics services that may set their own cookies.
- Functional Cookies: Enable enhanced functionality and personalization, such as remembering your preferences.
We do not use tracking pixels or sell data collected through cookies to third parties. Most web browsers allow you to manage your cookie preferences through browser settings. Please note that disabling cookies may affect the functionality of our Services.
Do Not Track
Some web browsers transmit "Do Not Track" signals to websites. Because there is no common standard for how such signals should be interpreted, our Services do not currently respond to browser "Do Not Track" signals.
International Data Transfers
Clara AI is based in the United States and processes data in the United States. If you access the Services from outside the United States, please be aware that your information may be transferred to, stored, and processed in the United States and other countries where our service providers operate. These countries may have data protection laws that differ from those in your country of residence.
Where we transfer personal data from the European Economic Area (EEA), United Kingdom, or Switzerland to countries that have not been deemed to provide an adequate level of data protection, we rely on appropriate safeguards, including the European Commission's Standard Contractual Clauses, to ensure that your data is protected in accordance with applicable law.
How We Use Your Information
We use the information we collect for various purposes, including to:
- Provide, maintain, and improve our Services
- Send you technical notices, updates, security alerts, and support and administrative messages
- Respond to your comments, questions, and requests and provide customer service
- Communicate with you about products, services, offers, promotions, rewards, and events offered by Clara AI and others, and provide news and information we think will be of interest to you
- Monitor and analyze trends, usage, and activities in connection with our Services
- Detect, investigate, and prevent fraudulent transactions and other illegal activities and protect the rights and property of Clara AI and others
- Personalize and improve the Services and provide content or features that match user profiles or interests
- Process and deliver contest entries and rewards
- Link or combine with information we get from others to help understand your needs and provide you with better service
AI And Automated Processing
Clara AI uses artificial intelligence and machine learning technologies provided by third-party services, including OpenAI, Anthropic, and Google, to power the Clara scheduling assistant. We do not develop or train proprietary machine learning models on your data.
When you use the Clara assistant, the content of emails and calendar data shared with Clara may be transmitted to these third-party AI providers solely for the purpose of generating scheduling responses on your behalf. Under the terms of our agreements with these providers, data submitted through their APIs is not used to train or improve their models. These providers process your data in accordance with their respective privacy policies and terms of service.
Members of the Clara AI engineering team may review emails and other content shared with the Clara assistant for the purposes of debugging technical issues and quality assurance. Access to such content is limited to authorized personnel, subject to confidentiality obligations, and conducted only as necessary to maintain and improve the reliability of the Services.
Data Retention
We retain your personal information for as long as your account is active or as needed to provide you the Services. We may also retain and use your information as necessary to comply with our legal obligations, resolve disputes, and enforce our agreements.
When you delete your account, we will delete or de-identify your personal information within 30 days, except where we are required to retain certain information by law or for legitimate business purposes, such as fraud prevention or financial record-keeping. Aggregated or de-identified data that can no longer reasonably be used to identify you may be retained indefinitely for analytics and service improvement.
Backup copies of your data may persist in our systems for up to 90 days following deletion before being permanently removed.
Data Security
Clara AI takes the security of your data seriously. We maintain a security program certified under the SOC 2 Type II framework and implement administrative, technical, and physical safeguards designed to protect your personal information from unauthorized access, disclosure, alteration, and destruction.
These measures include encryption of data in transit and at rest, access controls limiting personnel access to personal information on a need-to-know basis, regular security assessments and monitoring, and incident response procedures. While we strive to protect your personal information, no method of transmission over the Internet or method of electronic storage is completely secure. We cannot guarantee the absolute security of your data.
Commercial And Marketing Communications
We may use your information to send you marketing communications. You can opt-out of receiving promotional communications from Clara AI by following the instructions in those messages. If you opt-out of receiving promotional communications, we may still send you non-promotional communications, such as those about your account or our ongoing business relations.
How We Share Your Information
We may share the information we collect in the following circumstances:
- With vendors, consultants, and other service providers who need access to such information to carry out work on our behalf
- In response to a request for information if we believe disclosure is in accordance with, or required by, any applicable law, regulation, or legal process
- If we believe your actions are inconsistent with our user agreements or policies, or to protect the rights, property, and safety of Clara AI or others
- In connection with, or during negotiations of, any merger, sale of company assets, financing, or acquisition of all or a portion of our business by another company
- Between and among Clara AI and its current and future parents, affiliates, subsidiaries, and other companies under common control and ownership
- With your consent or at your direction
Sub-Processors
Clara AI uses the following categories of third-party sub-processors to help provide, maintain, and improve the Services:
- Cloud Infrastructure: Amazon Web Services (AWS), hosting, storage, and computing infrastructure
- AI and Machine Learning: OpenAI, Anthropic, and Google, natural language processing for scheduling assistance
- Google Workspace APIs: Calendar and email integration for scheduling functionality
Each sub-processor is bound by data processing agreements that require them to protect your data in a manner consistent with this Privacy Policy. We may update this list from time to time. For the most current list of sub-processors, please contact us at privacy@claralabs.com.
California Privacy Rights
Clara AI does not sell your personal information. We have not sold personal information in the preceding 12 months.
If you are a California resident, you may have certain additional privacy rights under the California Consumer Privacy Act (CCPA). These rights include the right to know what personal information we collect, use, and disclose; the right to request deletion of your personal information; the right to correct inaccurate personal information; and the right to not be discriminated against for exercising your privacy rights. To exercise these rights, please contact us at privacy@claralabs.com. We will verify your identity before processing your request and respond within 45 days, as required by applicable law.
European Privacy Rights
If you are located in the European Economic Area (EEA), United Kingdom, or Switzerland, you have certain rights under the General Data Protection Regulation (GDPR) and applicable local data protection laws.
Legal Bases For Processing
We process your personal data on the following legal bases:
- Performance of a Contract: Processing necessary to provide the Services you have requested, including scheduling meetings, accessing your calendar and email, and managing your account.
- Legitimate Interests: Processing necessary for our legitimate interests, including improving and securing our Services, communicating with you about your account, and detecting fraud, provided these interests are not overridden by your data protection rights.
- Consent: Where you have given us specific consent to process your data for a particular purpose, such as receiving marketing communications. You may withdraw your consent at any time.
- Legal Obligation: Processing necessary to comply with applicable laws and regulations.
Your Rights
Subject to applicable law, you have the right to:
- Access the personal data we hold about you and receive a copy of it
- Rectify any inaccurate or incomplete personal data
- Request erasure of your personal data under certain circumstances
- Restrict or object to the processing of your personal data
- Data portability: receive your personal data in a structured, commonly used, and machine-readable format
- Withdraw consent at any time, where processing is based on consent
- Lodge a complaint with your local data protection authority

Account Deletion And Data Portability
You may request deletion of your Clara AI account and associated personal data at any time by contacting us at privacy@claralabs.com. Upon receiving a verified deletion request, we will delete or de-identify your personal information within 30 days, subject to the exceptions described in our Data Retention section.
You may also request a copy of your personal data in a structured, commonly used, and machine-readable format. To submit a data portability request, please contact us at privacy@claralabs.com.
Children's Privacy
Clara AI does not knowingly collect or solicit any information from anyone under the age of 13 (or under the age of 16 in the European Economic Area) or knowingly allow such persons to register for the Services. The Services and their content are not directed at children under the age of 13. In the event that we learn that we have collected personal information from a child under age 13 without verification of parental consent, we will delete that information as quickly as possible. If you believe that we might have any information from or about a child under 13, please contact us at privacy@claralabs.com.
